Everyone who participated in the publicity, please:
Keep track of where you submitted the demo info. Keep track of who you emailed, who you called, who your contact was that accepted/gave permission for publicizing the demo, or allowing the flyer to be distributed or displayed on their premises, etc. Where the demo flyer was handed out, by whom, how many, what time, weather, acceptance by passer byes, what questions were asked by recipients, etc.
I'm compiling a list of contacts, hyperlinks, email addresses, what actions were taken at each location/site, what the results were, what succeeded, what failed, etc. This will help with future publicity.
If the location was a television cable calendar for example, did it take a phone call with followup fax of the demo flyer, who did you talk to, who was the responsible party for allowing the demo info to be posted, did/would they accept the same info via email, did/would they accept demo announcements via email next time, what is their email address, will they accept email with attachments, did they reject the demo announcement because it was from a dot com, not knowing the pending non-profit status of NYLXS, who handles compiling the calendar info before publication, is there some verification procedures they require prior to posting, was the demo announcement rejected because it did not follow their procedures for submitting to their calendar, etc.
Most of this is the info I'm pushing myself to get, but any info above you can get on your postings will help save time for the next demo.
I'm also compiling a to-do list of stuff to do prior to, during, and after the demo. Any suggestions would be appreciated.
One suggestion for during the demo, and anyone feel free to shoot this down if it doesn't sound right, is if the opportunity arises, ask demo attendees during any question/answer period after each presentation how they learned about the demo (flyer, web site, school, business organization, etc). Then WRITE THE ANSWERS DOWN. Are there twenty people at your presentation, did a third hear about it through CUNY, a handful through web sites, a handful through flyer handouts, etc. Are they their representing their business, etc.
