Here's a sample of what I'm sending to Ted Brown. Marco helped me out tremendously by doing a great job with the schedule. Depending on space and time, we can fit as many informal demos as we need and can get in there. The important thing was to give space between the demos for people to walk around and ask questions, and at the same time, have a frame of presentations.

Mr. Brown,
I spoke to the board and we are fully committed to this project. As a non-profit organization, we cannot guarantee that we will fill the space you have provided. But we are exhausting what resources are available to us to get the word out, and let others know about this event. We are doing our best to contact small business owners, consultants, and especially members of the Free Software community. The persons involved in this project have volunteered many hours to bring this together, and we are certainly going to do our best to pull this off.
The following is the agenda for our demo. We are Leaving time between each presentation to discuss with participants and answer questions.
